Freelance Design Business Notion System projects are always interesting because every freelancer works differently. Some need a place to manage clients, while others want to organize finances or streamline communication.
In May 2025, I received a message on Fiverr from Ronan, a senior freelance graphic designer based in London, UK.
His request was straightforward. He wanted one organized workspace where he could manage both his business and his client experience without juggling multiple tools. He needed somewhere to store contracts, keep track of invoices and expenses, organize resources, and create professional client portals that could be duplicated for every new project.
After reading through his detailed requirements, I knew this project would require more than simply creating databases. It needed a workflow that felt effortless for both Ronan and his clients.
Turning a Long List of Ideas Into One Organized Workspace
Ronan had already spent time thinking about exactly what he wanted.
His vision included two separate systems. The first would be a private Notion business hub where he could manage contracts, invoices, expenses, business resources, and internal documents.
The second would be a professional Notion client portal that every client could access throughout a project. Each portal would include project updates, asset uploads, feedback sections, FAQs, final deliverables, and scheduling links through Calendly.
Everything also needed to match his personal branding while remaining simple enough for clients who had never used Notion before.
Finding a Better Solution Together
Before starting the project, I shared my own approach.
Instead of building only two isolated workspaces, I suggested adding a third workspace.This became an all-in-one dashboard that could monitor everything happening across both the internal business hub and every external client portal.
Together we decided this would save time and give Ronan a complete overview of his freelance business without opening multiple pages.
Sometimes the best solution isn’t the first idea. It’s the one you arrive at together.
Building the Freelance Design Business Notion System
Development officially began on May 26, 2025.
Every page was designed with simplicity in mind while still providing all the functionality Ronan needed. Since many designers collaborate with non-technical clients, I focused heavily on making navigation clear and intuitive.

Making the Handover Just as Valuable
Building the workspace was only part of the project.
After completing the system, I recorded multiple walkthrough videos explaining every feature, database, automation, and workflow. I wanted Ronan to feel completely confident managing and customizing everything himself after delivery.
We also made several refinements based on his feedback before finalizing the project on June 6, 2025.
The Best Part Wasn’t the Five-Star Review
When the project was finished, Ronan left a 5-star review on Fiverr. It remains one of the most meaningful reviews I’ve received.
Of course, getting paid for good work is rewarding.
But what stays with me much longer is knowing that someone had an idea in their head, trusted me with it, and watched it become a real system that made their business easier to manage.
That’s the part of this work I enjoy most.
Every business is different. A freelancer doesn’t simply need another dashboard. They need a workspace that fits the way they actually work every day.
